A day in your life as a Contracts Specialist
Under the direction of the Construction & Projects manager, this position manages vendor contracts and warranties for Corporate Real Estate & Facilities Division, including master agreements for building services and property management, and project specific agreements for design, construction and repair/maintenance.  The contract specialist acts as a liaison between Corporate Real Estate & Facilities and Corporate Sourcing to obtain and track purchase orders.  Assists in business unit’s compliance with applicable laws, regulations, regulatory requirements and Bank policies and procedures, including but not limited to those related to Anti-Money Laundering laws and regulations, Bank Secrecy Act and USA PATRIOT Act.  In addition, this position is responsible for demonstrating the Excellence in Sales/Service (ESS) philosophy by embracing and practicing ESS disciplines and behaviors.


We’ll give you these important responsibilities…

  • Facilitates the acquisition of goods and services by managing the vendor process from selection through contract execution.  This includes, but is not limited to:
    • Bank vendor set up, including proper due diligence on prospective vendors for compliance with industry standard licensing and compliance with Bank standards.
    • Generates, to full execution, vendor contracts prior to commencement of service contracts (for ongoing maintenance work) or commencement of construction (for specific projects or work orders).  Alerts relationship managers of potential impasses in negotiations and identify acceptable options for risk acceptance.
    • Obtains and monitors status of vendors’ Certificates of Insurance and business and/or professional licenses, ensuring they comply with the contract requirements.
    • Tracks status of vendors’ service agreements and alert relationship managers of upcoming expirations.
    • As applicable, participates in Request for Proposal (RFP) process to ensure Scope of Work/Services are clear and within vendor’s contract scope of work.
    • Maintains all documentation, including, but not limited to service agreements, amendments and contracts and ensures they are accessible/available upon request or as needed.
    • Review contract documents and vendor proposals and evaluate potential risk.
  • Processes requests for purchase orders in accordance with Bank procedures. Work with Project Managers and Corporate Sourcing to provide all documentation necessary to obtain purchase orders. Tracks and extends purchase orders, as required, and actively pursues resolution of outstanding purchase order issues to facilitate the timely processing of vendor invoices.
  • Reviews contract administration process(es).  Identifies opportunities for improvement, with recommendations to desktop procedures and “next steps” for implementation.  Ensures established procedures are adhered to, for departmental consistency.
  • Maintains vendor database of active and inactive vendors. Review internal and external department procedures, and recommend opportunities for process improvement.  Develops best practices to ensure vendors are in good standing, vendor documents are current and in compliance with Bank of Hawaii standards. 
  • Perform all other miscellaneous responsibilities and duties as assigned.

  • Bachelor’s degree from accredited institution or equivalent work experience.



  • Minimum 5 years of work experience in increasingly responsible positions with responsibility for vendor/contract management, business management, finance or legal (contracts) related departments/industries. 
  • Requires work experience involving review and preparation of detailed multiple clause contracts or other similarly complex legal documents. 
  • AIA contract document or similar experience preferred. 
  • Requires contract analysis and interpretation.


Technical Skills: 

  • Demonstrated proficiency and expertise with personal computers in a networked environment and Microsoft applications (Outlook, Word, Excel, Access, and PowerPoint) or similar software. 
  • Knowledge of or ability to use Bank software and systems.


Other Job Qualifications: 

  • Demonstrated verbal and written communication skills, as well as excellent interpersonal skills. 
  • Must be able to speak and write clearly and concisely. 
  • Also requires excellent negotiating skills. 
  • Will work in a team-based environment and must have the skills necessary to perform well in a team environment. 
  • Must be analytical, detail oriented, organized.  Able to meet deadlines and handle multiple priorities. 
  • Strong self-starter with ability to work independently in fulfilling responsibilities of the position.
  • Able to work flexible hours including holidays, weekends and evenings as needed or assigned.
