A day in your life as an Executive Secretary:

Under the direction of the Chief Lending Officer, the Secretary II provides secretarial, administrative and clerical support. If appropriate or applicable, assists in ensuring the business unit’s compliance with applicable laws, regulations, regulatory requirements and Bank policies and procedures, including but not limited to those related to Anti-Money Laundering laws and regulations, Bank Secrecy Act and USA PATRIOT Act.  Under the direction/supervision of the Manager, this position is responsible for demonstrating the Excellence in Sales/Service (ESS) philosophy by participating in and practicing ESS disciplines and behaviors.

 

We’ll give you these important responsibilities…

  • Provides secretarial, administrative and clerical support to management and staff. Uses the personal computer (PC) to prepare memorandums, plans, reports, presentations, etc.; composes and/or types correspondence and presentation material from brief instructions, rough-typed or hand-written drafts; proof reads documents.
  • Assists in projects: gathers data, compiles and/or maintains files, generates and distributes reports, graphs, charts, meeting minutes; and prepares presentation materials.
  • Answers and routes telephone calls and takes messages, responds personally (as appropriate) or arranges for return calls; places wires and faxes.
  • Coordinates conference room reservations for 22nd floor. Maintains kitchen, refrigerator, coffee supplies.
  • Maintains personnel records: timesheets, semi-monthly absence reports, vacation schedules, employee listings; monitors timely completion of salary reviews and progress reviews; prepares personnel paperwork, as required. Updates procedural/reference manuals.
  • Provides relief for other secretaries on a short-term basis, such as secretarial support, phone coverage, etc.
  • Performs all other miscellaneous responsibilities and duties as assigned.

 


Qualifications

Education: 

  • 1-2 years post high school education or equivalent work experience.

 

Experience: 

  • Prior secretarial or office experience - 3 to 5 years.

 

Technical Skills:

  • Knowledge and operational use of basic office equipment and personal computing equipment and applicable software. 
  • Demonstrated word processing and typing skills.
  • Knowledge of Excel and Powerpoint.

 

Other Job Qualifications:

  • Possesses writing and communication skills; administrative and organization competence and interpersonal skills.
