A day in your life as an Employee Relations Specialist
Under the direction of the HR Service Center Manager, the HR Specialist is responsible for guiding and coaching managers, supervisors and employees with regard to human resources (HR) policies, procedures and programs; retirement plan administration; and administration of Employee Handbook and Affirmative Action programs. Ensures HR and retirement plans/programs are administered accurately, timely, and in accordance with applicable laws, regulations and Bank policies and procedures. In addition, this position assists with the research, analysis, design, maintenance, and reporting for process improvement initiatives and serves as position to which complex Service Center issues are escalated. Assists in business unit’s compliance with applicable laws, regulations, regulatory requirements and Bank policies and procedures, including but not limited to those related to Fair Banking, Anti-Money Laundering laws and regulations, Bank Secrecy Act and USA PATRIOT Act. This position is also responsible for demonstrating the Excellence in Sales/Service (ESS) philosophy by participating in and practicing ESS disciplines and behaviors.


We’ll give you these important responsibilities…

  • Guides and coaches managers, supervisors and employees regarding HR policies, procedures and programs, benefit programs and the resolution of work-related issues or return to work situations by telephone, using email and through meetings and training sessions. Conducts research relating to specific situations and general trends and best practices, which may include involuntary terminations. Confers with managers, employees and external resources, as necessary. Assists with the design, development and modification of policies, processes and procedures for the effective management of staff related situations and issues.
  • Ensures day to day retirement administration processing is performed in accordance with plan documents, policies, procedures, and all applicable federal, state, and local laws and regulations. Monitors changes in laws or regulations that impact current plan design and/or processes. Researches issues and concerns regarding retirement benefit administration and responds to inquiries in a timely manner. Conducts employee retirement benefit counseling and meetings. Works with actuaries to complete annual retirement plan valuations. Collects, prepares and maintains documentation including, but not limited to, procedures manuals, instructional materials and bank news articles.
  • Retrieves and analyzes employment data. Manages Bank of Hawaii’s compliance with legal reporting requirements relating to the American’s with Disabilities Act (ADA) and Equal Employment Opportunity (EEO)/Affirmative Action (AA) Plans. Coordinates and facilitates communication and training of Employee Handbook and Code of Ethics, through different modalities including but not limited to New Hire Orientation and Performance Counseling.
  • Provides guidance and (depending on level) responds to escalated HR Service Center inquiries from employees, retirees, and dependents regarding benefits, policies, and Service Center procedures. Assists HR Service Center staff in resolving complex problems or issues. May involve conducting educational seminars at various locations, including off-island.
  • Works with HR Managers to identify needs or opportunities for process improvements and recommends/implements changes based on market trends or changes in regulations. Implements benefit design changes, enhancements, and/or new programs. Uses HR systems and reports to integrate and streamline processes. Reviews all process changes and enhancements to ensure continued compliance. Documents and maintains operational procedures.
  • Develops and disseminates communication materials to enhance employee knowledge, appreciation, and effective use of benefits and HR services provided by Bank. Writes and edits HR Service Center communication pieces. Reviews and maintains HR Standard Procedure Manual. Monitors HR website and ensures content is updated.
  • Performs all other miscellaneous responsibilities and duties as assigned. Serves as back up to other HR Specialists. Trains others in the department or support areas as it relates to responsibilities. Cross trains in other HR areas as needed.

  • College degree from an accredited educational institution or equivalent work experience.


  • 3 - 5 years Human Resources experience to include staff relations, retiree administration or related areas.
  • Must include experience managing projects and implementing process changes.
  • Should have exposure to or experience with staff relations and/or retirement plan design/process.


  • General experience and knowledge of EEO/AA, ADA, FMLA, FLSA, ERISA, tax and other laws and regulations impacting staff relations and retiree benefit administration.
  • Demonstrated proficiency with personal computers in a networked environment and Microsoft applications (Outlook, Word, Excel, MS Access and PowerPoint) or similar software.
  • Should have some experience writing data base program reports and queries.
  • Knowledge of or ability to use Bank software.


  • Demonstrated verbal and written communication skills, including presentation skills.
  • Must be analytical, detail oriented, organized. Must be proactive, flexible and able to meet deadlines and handle multiple priorities.
  • Should have the ability to work in and foster a team environment as well as work independently.
  • Able to work flexible hours including holidays, weekends and evenings as needed or assigned.
  • Must be able to provide own transportation or to operate a vehicle with a valid driver’s license, and able to commute and arrive at intended destination in a timely manner and/or as required.
  • Must be able to travel by air off-island as required.
