A day in your life as an Operations Assistant:

Under the direction of the Supervisor/Manager, this position is responsible for administering assigned consumer, commercial and overdraft accounts to minimize delinquency and charge off losses, minimize expenses and reduce exposure to counterclaims, evaluate and dispose of collateral where appropriate.  This position complies with Bank of Hawaii policies and procedures as well as State and Federal requirements for debt collection. If applicable or appropriate, assists in business unit’s compliance with applicable laws, regulations, regulatory requirements and Bank policies and procedures, including but not limited to those related to Fair Banking, Anti-Money Laundering laws and regulations, Bank Secrecy Act and USA PATRIOT Act.  In addition, this position is responsible for demonstrating the Excellence in Sales/Service (ESS) philosophy by participating in and practicing ESS disciplines and behaviors.

 

We’ll give you these important responsibilities…

  • Monitors vehicle disposition for State of Hawaii, Guam, Saipan and American Samoa which includes but is not limited to maintenance, billings, proceeds and letters; prepares and dispatches vehicle assignment to agencies; checks for bankruptcy filings prior to auctions; pulls vehicle from sale if bankruptcy has been filed; dispatches inventory listing to dealers prior to auctions; validates receipt and accuracy of auction proceeds; processes auction payments; processes invoices for vehicle repairs and auction costs. 
  • May periodically, act as back up to the Re-Marketing Specialist at local auctions.
  • Must be available for overtime and have a regular attendance record. 
  • Must be available to work evenings weekends and holidays periodically.
  • Researches and responds to internal and external inquiries and correspondence regarding: collateral disposition, insurance, Legal Ownership Certificates, loan payoffs, credit bureau files, disputes, etc. 
  • Retrieves files from appropriate sources; responds to routine and non-routine customer inquiries, creates routine and non-routine correspondence; processes on-line system updates and inquiries; prepare GL tickets, etc.
  • Ensures timely sorting and distribution of mail and returned mail. 
  • Contacts delinquent and overdraft customers by telephone, through letters or in person.
  • Reviews, analyzes and determines source of repayment problem.
  • Recommends and implements course of action to resolve delinquent status or overdraft and assists customer in reestablishing payment record or reconciling account.
  • Develops resolutions to delinquency within established authority and guidelines and acts independently within established guidelines.
  • Ensures Bank customer information is updated to better service going forward.
  • Compiles data, prepares and dispatches error-free department and corporate reports. 
  • Maintains and updates vehicle log and other reports on Excel for all locations. 
  • Trains other clerical staff in processing, reviews work for completeness and accuracy. 
  • Backs up other employees during absences. 
  • Prepares data entry input timely; monitors supplies and reorders timely; contacts vendor for system repairs, etc. 

 

 


Qualifications

Education:

  • High school diploma or G.E.D.

 

Experience:

  • Minimum 2 or more years of experience in banking where product knowledge was obtained, loan operations or similar high volume complex processing unit or equivalent work experience. 

 

Technical Skills:

  • Demonstrated proficiency with personal computers in a networked environment and Microsoft applications (Outlook, Word, Excel, and PowerPoint) or similar software.
  • Knowledge of or ability to use Bank software and systems.

 

Other Job Qualifications:

  • Good verbal and written communication skills. 
  • Able to quickly understand instructions and follow directions.
  • Must be organized and able to work independently.
  • Should have been exposed to training and able to assist with training of other employees. 
  • Must be analytical and organized, with good interpersonal skills. 
  • Should be helpful and customer service oriented. 
  • Knows when to ask questions. 
  • Able to handle large volume of work accurately, set priorities to meet deadlines, handle multiple tasks simultaneously and develop or follow systems. 
  • Must be able to work flexible hours including holidays, weekends and evenings as needed or assigned.
  • Lifts, moves or carries files up to 10 lbs.
